Sender setup

Getting the technical side right with SPF, DKIM and Sender ID

The technical setup of your account decides whether your email arrives at all.

SPF and Sender ID

Most larger email providers use SPF, the Sender Policy Framework - Gmail, Outlook.com and Yahoo Mail among them.

SPF is a technology that, through DNS lookups, lets the recipient establish which mail servers are allowed to send on a given sender’s behalf. Our SPF information is published as a TXT record on spf.ubivox.com.

Besides SPF we support Sender ID, which works almost the same way but validates the sender address itself. That address can be changed freely in Ubivox, so it is not something we control - but we monitor it and warn you in the system if there is a problem. Sender ID is used mainly in Microsoft environments.

DKIM

DKIM, DomainKeys Identified Mail, lets the receiving system verify the sender’s identity cryptographically and handle the message accordingly. Every email leaving Ubivox is signed with our DKIM keys.

The technique is used by Gmail, Yahoo Mail and Fastmail among others, and often means the message is processed faster.

A further benefit of the signature is that it binds the important headers - subject, sender and recipient. The recipient can be sure nothing was altered along the way.

We support your own DKIM keys too. If you already have a setup, you can use it in the platform, so verification is consistent across your systems.

We help with the setup

The records go in your own domain’s DNS, and it is not something you have to work out alone. We have done it many times and will guide you through it.

We will guide you through SPF, DKIM and DMARC for your domain.
